Effective Date: March 1, 2026. Please read these terms carefully before booking your escape.
1. Booking, Deposits, and Payments
To secure your place on a Velo Escapes journey, a deposit is required at the time of booking — the deposit amount for each escape is shown on its trip page and during checkout. Deposits are refundable under the cancellation policy below (Section 2) until your booking's posted non-refundable date. The final balance is due by the date shown on your booking page; that date is set per escape and displayed before you book. Failure to provide final payment by the due date may result in the cancellation of your reservation, subject to the same cancellation policy. Private and custom escapes — trips we design with you on request (start one from our Contact page) — may carry separate deposit, payment, and cancellation terms, which we'll spell out in your specific proposal before you commit.
2. Cancellation and Refund Policy
We understand that plans can change. Your full payment is refundable up until your booking's non-refundable date, which is shown on your booking page. After that date, no refund is available. If you can't attend, your spot is fully transferable to another guest up to 7 days before the escape begins — the new guest signs the standard waiver and the swap is on us. Transfers requested inside the final week are not guaranteed. Note: Private and custom escapes may have separate, more restrictive cancellation terms as outlined in your specific contract.
3. Weather & Safety Cancellations
Velo Escapes reserves the right to shorten, alter, or completely cancel an itinerary due to severe weather, natural disasters, or other safety concerns. We do not offer cash refunds for weather-related adjustments or cancellations. If an escape must be shortened during operation, guests will receive a pro-rated credit toward a future Velo Escapes journey. If an escape is cancelled in its entirety prior to departure due to weather or force majeure, guests will receive a full credit for a future escape, minus any non-refundable costs already paid to local vendors.
4. Mandatory Traveler Profile
Safety is our priority. All guests are required to submit a completed 'Traveler Profile' no later than 60 days before departure. This profile must include critical information such as medical conditions, severe allergies, emergency contact details, dietary requirements, and precise measurements for bicycle sizing. Velo Escapes reserves the right to deny participation to any guest who fails to submit this profile.
5. Physical Effort and Assumption of Risk
Cycling involves inherent risks, including but not limited to physical exertion, environmental forces, and collisions. By booking, you acknowledge that you are in good health and possess the necessary physical stamina for the chosen escape tier. You voluntarily assume all risks associated with the activity, including travel to and from the destination.
6. Equipment and Responsibility
Whether riding a Velo Escapes fleet bike or your own machine, you are responsible for the safe operation of the equipment. While our mechanics provide daily tuning, you must follow all safety instructions. You are liable for any damage to Velo Escapes property caused by neglect or misuse. Helmets are mandatory on every ride; no exceptions.
7. Image and Media Release
During our journeys, Velo Escapes staff may take photographs or videos. By participating, you grant Velo Escapes a worldwide, royalty-free, perpetual license to use your likeness in any media (including social media, website, and brochures) for promotional purposes. If you prefer not to be photographed, please notify us in writing before the trip begins.
8. Limitation of Liability
Velo Escapes acts only as an agent for airlines, hotels, and local transport providers. We are not liable for any injury, loss, or damage resulting from the acts or omissions of these third-party providers, or from events beyond our control (force majeure), including natural disasters, civil unrest, or global health emergencies.
